Learn how to manage your club's tryouts, players, and communications using RoundRoster.
1. Core Concepts
RoundRoster organizes your tryouts using a clear hierarchy:
- Cycles: The overarching season or year (e.g., "Fall 2024").
- Pods: Age groups or specific cohorts within a cycle (e.g., "U12 Boys").
- Sessions: Specific events or tryout dates for a pod.
- Groups: Subdivisions of players within a session for evaluation or scrimmage.
Understanding this structure is key to organizing your data effectively.
2. Player Management
The Admin Dashboard allows you to manage players efficiently.
The Grid
Use the Grid view to quickly input tryout numbers, view player profiles, and leave evaluation notes. Notes can be toggled between public (visible to other coaches) and private.
The Shuffle
The Shuffle interface in your session management page lets you drag-and-drop players between different groups. This is perfect for building scrimmages or finalizing rosters.
3. Parent Communication
RoundRoster simplifies communication through personalized Parent Portals.
Deep Links
Instead of generic spreadsheets, send parents a secure, personalized "Deep Link" via email. This link provides them with a live view of their player's current status, upcoming sessions, and assigned groups.
Publishing Sessions
Before parents can see session details on their portal, ensure the session is marked as "Published" in your management dashboard. You can unpublish a session at any time to hide it.
4. Settings & Customization
Make RoundRoster feel like home for your club members.
- Custom Branding: Club admins can update their portal with custom primary colors and logos.
- Registration Configuration: Customize the fields you require during player onboarding.
- Data Portability: Import your initial roster using the CSV upload tool, and export finalized groups back to CSV when tryouts are complete.
